Privacy Policy

This policy explains how FearlessAI ("we", "us", "I", "Patricia") collects, uses, and protects your personal data when you visit fearlessai.ai, enquire about our coaching, or become a client. We are committed to handling your information carefully and in line with UK data protection law (the UK GDPR and the Data Protection Act 2018).

Who we are

FearlessAI is a sole trader business operated by Patricia Regalado Love, based in the United Kingdom. (If FearlessAI later incorporates as a limited company, this will be updated.) For data protection purposes, we are the "data controller" responsible for your personal data.

What data we collect

We only collect what we need to respond to you and provide our coaching.

When you use the enquiry or booking form

  • Your name and email address.
  • The stream you are interested in (Professionals, Parents, or Businesses).
  • Anything you choose to tell us in the message field.
  • Limited technical information your browser sends, such as your browser and device type (user agent) and the page you contacted us from. We use this to understand how the site is used and to help prevent spam.

When you book a call

If you book a discovery call through our scheduling tool (Cal.com), you provide your name, email, and chosen time. This information is processed by Cal.com on our behalf so we can schedule and confirm the call.

When you become a client

  • Account details for our client portal (email address and a password you set).
  • Notes from your sessions, your goals, and the programme we build together.
  • Where you share session recordings or transcripts with us, the content of those, so we can prepare your summaries and exercises.
  • Payment information. Payments are processed securely by Stripe. We do not see or store your full card details; we only receive confirmation of payment and limited transaction information.

Cookies and similar technologies

A cookie is a small file stored on your device. We keep cookies to a minimum.

  • Strictly necessary: these make core features work, such as submitting the enquiry form. They do not require your consent.
  • Functional (booking): when you choose to load our booking tool (Cal.com), it sets cookies needed to schedule your call. We only load it after you accept non-essential cookies.

We do not currently use advertising or third-party analytics cookies. You can manage cookies through the banner on the site and through your browser settings. If we add analytics in future, we will ask for your consent first and update this policy.

Who we share your data with

We do not sell your data. We share it only with trusted service providers ("processors") who help us run FearlessAI, under contracts that require them to protect it:

  • Supabase, for securely storing enquiries and client portal data.
  • Resend, to send us a notification when you submit the form, and to send service emails.
  • Cal.com, to schedule discovery calls (only if you use the booking tool).
  • Stripe, to process payments.
  • Anthropic, where we use AI to help prepare summaries from session content you have shared with us.

We may also disclose information if required by law.

International transfers

Some of our providers are based outside the UK, including in the United States. Where your data is transferred internationally, we rely on appropriate safeguards (such as the UK International Data Transfer Agreement or equivalent standard contractual clauses) to keep it protected to UK standards.

How long we keep your data

  • Enquiries that do not become clients: kept for up to 12 months, then deleted.
  • Marketing contacts: kept until you unsubscribe or ask us to remove you.
  • Client records: kept for the duration of our work together and for 6 years afterwards, to meet tax and legal record-keeping requirements.

Your rights

Under UK data protection law you have the right to:

  • Ask for a copy of the personal data we hold about you.
  • Ask us to correct data that is wrong or incomplete.
  • Ask us to delete your data, where there is no legal reason for us to keep it.
  • Ask us to restrict or object to how we use your data.
  • Ask for your data in a portable format.
  • Withdraw consent at any time, where we rely on consent.

To exercise any of these, email patricia@fearlessai.ai. We will respond within one month.

If you are unhappy with how we have handled your data, you can complain to the Information Commissioner's Office at ico.org.uk or by calling their helpline. We would appreciate the chance to put things right first.

Children

Our services are sold to and arranged by adults. Our Parents stream provides educational material for families about children's online safety, but we do not knowingly collect personal data directly from children. When that stream launches, any data practices involving young people will be set out clearly and handled with additional care.

Changes to this policy

We may update this policy from time to time. When we do, we will change the "last updated" date above, and where the changes are significant we will let you know.
